Whisper for Clinics

A practice buying dictation for twenty clinicians is answering a different question from a clinician buying it for themselves. The question is how much of the compliance surface each option adds, and what it costs every year afterwards. Whisper adds no business associate and no auto-renewing subscription.

The speech model runs on each clinician's own machine, so Protected Health Information is not disclosed to us at any point. Seats are $29 for the first and $15 for each additional, per year, on Mac, Windows and Linux.

What changes when you buy for a whole practice

No BAA to negotiate for transcription

A cloud tool receives PHI, so it is a business associate and needs a signed agreement, a review, and a place on your vendor register. A tool that receives nothing is not in that path at all.

A flat, predictable yearly cost

Twenty clinicians on a $79 per month plan is $18,960 a year and $56,880 over three years. Twenty seats of Whisper is $314 a year and $942 over three years, with no auto-renewal. That is the argument, and it only holds if dictation is what you actually needed.

It works on a locked-down or offline machine

Dictation runs with the network disabled, which matters on a shielded imaging workstation, in a basement clinic, and on any endpoint your IT team keeps off the internet.

One licence covers a mixed estate

Mac, Windows and Linux are covered by the same seat, so you do not buy the platform twice or standardise the fleet just to buy software.

Answers for your vendor review

The questions a practice manager or a compliance officer has to answer before approving software, with our short answers. We name the limits as clearly as the strengths.

Is PHI disclosed to the vendor?

No. Transcription happens on the clinician's device. Neither audio nor transcript reaches us.

Is a Business Associate Agreement required?

Not for the transcription step, because there is no disclosure of PHI to us. If your policy requires an agreement with every vendor, contact us and we will discuss what would accurately describe the relationship.

What is the retention period for patient audio?

Not applicable. We never receive it. Retention of the resulting text lives entirely in your own record system.

Which sub-processors handle PHI?

None. For licensing and payment we use ordinary business vendors, listed on the security page.

What certifications does the vendor hold?

We do not hold SOC 2 or ISO 27001 and we do not claim them. Vendors on our comparison page that do hold them say so, and we quote their wording rather than compete with a claim we cannot make.

How is it deployed to managed workstations?

Standard installers with silent installation flags. There is no central management console or group policy template, and we state that plainly on the deployment page.

Does it record patient encounters?

No. Whisper is a dictation tool. It transcribes what a clinician deliberately speaks into it. It does not listen to consultations, which is the difference between it and an ambient scribe.

Questions practice managers ask

Does this replace our ambient scribe?

Only if the scribe was doing a job dictation can do. An ambient scribe listens to the consultation and drafts the note, which removes more work and costs more every month. Whisper transcribes what a clinician dictates. Many practices run both: dictation for letters, referrals and clinician notes, and a scribe only for the consultation types where the monthly cost is clearly repaid.

Will it write into our EHR?

It types wherever the cursor is, so it works inside a web or desktop EHR, a letter, or an email. There is no interface into named fields and no coding, so if you need structured capture you need an integration, and Whisper is not one. We would rather set that expectation before the purchase order.

How do we handle staff turnover?

Seats are licences the practice administers, not hosted accounts. The practice uses one licence key on each device up to its seat count, so reassigning a seat means removing the old device at /account and activating the key on the new one. There is no leaver data on our side to export, retain or delete, because there never was any.

What is our exposure if a laptop is stolen?

It is exactly your existing device exposure, no more and no less. Full-disk encryption, screen locks and remote wipe are the relevant controls, and they are yours. Our architecture removes a vendor breach as a route to that PHI. It does not secure the endpoint for you, and no vendor's marketing should suggest otherwise.

Does it handle medical terminology?

Clinical vocabulary comes through well and there is no enrolment or voice training step. What it does not include is an imported practice dictionary of your own abbreviations and templates. If your documentation leans heavily on those, budget time to rebuild the ones actually in use.
