The right alternative depends on which half of Otter you actually use. For the meetings half you need another cloud tool with a notetaker; for the dictation and private-notes half, an app that runs on your own computer is cheaper, faster and keeps the audio in the building.

Read this before you compare prices

Otter.ai is a meeting-notes tool. It sends a bot into the call, records it, transcribes it, writes a summary and keeps everything searchable for the team. Whisper does none of that. Whisper is a dictation tool: you hold a key, you talk, and the text lands in whatever app you are in, with the audio never leaving your machine. If meetings are why you pay Otter, a local dictation app is not a replacement, and we would rather tell you that here than three sections down.

This is where a per-user subscription is hardest to justify, and where an on-device tool wins on both price and privacy:

  • Talking a draft, an email, a ticket or a case note straight into the app you are already in.
  • Client, patient or legal material that should not be uploaded to a third party at all.
  • Work on a plane, on a train, or on a machine that is not allowed on the internet.
  • Ten people who each dictate for twenty minutes a day and never open a shared transcript library.

Where Whisper is the wrong choice

Five things Otter does that we do not. If one of them is why you pay for Otter, keep paying for it.

  • No meeting bot. Whisper does not join a Zoom, Teams or Meet call, does not record it and does not write a summary of it. Otter does all three.
  • No mobile app. macOS needs Apple Silicon. Android is still a waitlist.
  • No admin console and no SSO. You get one shared license key and a device list at /account, which is enough for a team of 10 and thin for a team of 500.
  • No SOC 2 report and no HIPAA certificate. Our answer to the compliance question is architectural: nothing is sent to us, so there is no processing of your audio to certify. If your procurement process requires a vendor certificate regardless, say so early.
  • No shared transcript library, no comments and no search across the team's recordings. That is Otter's product, not ours.

Can I keep Otter for meetings and use Whisper for dictation?

Yes, and for many teams that is the sensible answer. Whisper has no meeting bot, so it never replaces the Zoom or Teams recording that Otter does. Teams that split it this way usually keep a small number of Otter seats for the people who run meetings, and give everyone a Whisper device license for the dictation and note taking they do on their own. The dictation half is where the per-user subscription was being paid for the least.

Does my audio leave my device with Whisper?

No. Transcription runs entirely on your computer, there are no subprocessors, and the app works offline once it is set up. The optional AI cleanup also runs on-device unless you switch on a cloud provider yourself. With Otter, audio and transcripts are processed and stored in the cloud. Which platforms does Whisper run on?

macOS on Apple Silicon, Windows 10 and 11, and Linux on Ubuntu 22.04 and newer. There is no mobile app today, and Android is a waitlist. Otter runs on web, Mac, Windows, iOS and Android, so if phone use is the point, Otter or Wispr Flow covers more ground than we do.

How do I move my custom vocabulary across?

Export or copy the custom words list from Otter, then add the terms to Whisper's own word list in the app settings. Names, product names, drug names and abbreviations are the ones worth moving. Everything else is handled by the model. Budget about five minutes for a normal list.
